Document Verification — What to Carry, and What Ends a Candidature There

Document verification is the stage where a candidate who has already passed the exam can still lose the post, not for a wrong answer, but for a certificate that is missing, expired, in the wrong form, or that says something different from the application form. It is also the stage nobody prepares for, because it comes months after the exam and feels like a formality. It is not a formality. This guide lists what to carry, explains which certificates have to be current rather than merely genuine, and sets out the mismatches that end a candidature on the spot.
Why this stage catches people
The exam tests what you know. Verification tests whether the claims on your application were true. Every one of them, against paper.
The gap in time is what does the damage. You applied in March, sat the exam in July, and are called in December. The certificate that was valid in March may have lapsed. The category you ticked may need a document you never obtained. The name you typed may not match the certificate you now hold.
None of this can be fixed in the room. Officers verify; they do not accept undertakings to produce a document later, except where the notification itself allows it.
The core set: carry originals and photocopies of all of it
Take one set of originals and two sets of self-attested photocopies. Photocopies get kept; originals get returned after being seen.
- The printed application form as submitted, and the fee payment receipt.
- The admit card, and the call letter for verification itself.
- Class 10 certificate and marksheet: this is the age proof and the name anchor.
- Class 12 certificate and marksheet.
- The qualifying degree or diploma, with all semester or year marksheets.
- Caste certificate, if a reserved category was claimed.
- Non-Creamy Layer certificate, if OBC/BC/EBC was claimed: in the version the recruitment asks for.
- EWS certificate, if EWS was claimed, for the financial year named in the notification.
- Residence or domicile certificate, for a state recruitment.
- Any certificate supporting a relaxation claimed: ex-serviceman, sports, disability, and so on.
- Recent passport photographs, several. Keep the same photograph as the application where possible.
- Photo identity: Aadhaar, and one other.
Certificates that must be current, not merely genuine
This is the distinction that costs the most posts, because a certificate feels permanent once you have it.
A caste certificate does not expire. Your caste does not change, and a genuine certificate from years ago remains valid unless the notification says otherwise.
A Non-Creamy Layer certificate does expire in practical terms, because it certifies your family's standing in a period. Recruitments name a period it must cover, and one issued years earlier will not satisfy it.
An EWS certificate is annual and tied to a financial year. Recruiters name different years and are entitled to, an income-based certificate for the wrong year is refused however genuine it is.
An income certificate is the same. Read the notification for the year named, and check the year printed on the certificate you hold.
The practical habit: when the call letter arrives, do not assume your file is ready. Read the notification again, list what it names, and check each certificate's date and form against that list.
The mismatches that end it on the spot
Every one of these is a case where the form said one thing and the paper said another.
- Name spelled differently on the form and the Class 10 certificate.
- Date of birth on the form different from the certificate. This also invalidates the age claim.
- A reserved category claimed with no certificate, or with the wrong version of one.
- A state reservation claimed with no residence certificate for that state.
- An income-based certificate for a year the notification did not name.
- A qualification completed after the notification's cut-off date.
- Father's or mother's name different between form and certificate.
What to do if a document is genuinely missing
Tell the verifying officer at the start rather than hoping it is not noticed. Ask what the recruitment's own rule is, some allow a short window to produce a specific document, some do not, and the officer knows which.
Get whatever you are told in writing, or note the name and designation of who told you. A verbal assurance you cannot evidence is worth nothing later.
If a certificate is simply late from the issuing office, carry the acknowledgement receipt with its application number. It does not replace the certificate, but it demonstrates the application was made and dated, which sometimes matters.
Practical things that go wrong on the day
These are small and they still cost people the slot.
- Arriving without photocopies, and finding no shop nearby. Carry them.
- Originals left at home because "the copies are attested". Originals are seen; copies are kept.
- A photograph that is years old and no longer resembles you. It is checked against your face.
- Reaching late. Verification is scheduled in batches and a missed slot is not always rescheduled.
- Not carrying the submitted application form. Officers verify against it, and portals often close after the recruitment ends, so save the PDF when you apply, not when you are called.
