The Mistakes That Get an Online Application Rejected

An application is rejected far more often for how it was filled in than for anything about the candidate. The rejections are mechanical and almost all of them happen at the same few fields: a name that does not match the certificate, a date of birth typed from memory, a category claimed without the certificate to support it, a permanent address that contradicts the residence certificate, and a fee paid at the last moment on a portal that has stopped responding. None of this is about ability. This guide goes field by field through where applications actually die, and what to do in the twenty minutes before you press submit.
The principle behind every rule below
A recruitment does not know you. It knows the documents you will produce at verification, and the form is a promise about what those documents say.
So every field has one correct answer: whatever is printed on the certificate you will bring. Not what is correct in life, not what you have always written, not what your Aadhaar says if the Aadhaar disagrees with the matriculation certificate.
Almost every rejection below is a version of the same failure, the form said one thing and the document said another.
Name: copy it, do not type it
Your name must match your matriculation (Class 10) certificate exactly. That certificate is the anchor document for a government recruitment, and where documents disagree, it is usually the one that decides.
The differences that cause trouble are small: an initial expanded or contracted, a middle name present on one document and absent on another, "Kumar" dropped because you never use it, a surname spelled Sinha on one and Sinh on another, extra spaces, or the name in a different order.
Put the certificate in front of you and copy from it letter by letter. If your Aadhaar disagrees with the certificate, the safest course is to correct the Aadhaar rather than the form, because the mismatch will keep recurring at every stage.
Father’s and mother’s names are checked the same way, and are forgotten more often than the candidate’s own.
Date of birth: the field with no second chance
Type it from the certificate, never from memory, and check the format the portal expects. DD/MM/YYYY and MM/DD/YYYY produce very different results for any date before the 13th, and the form will accept both without complaint.
This matters more than any other field because age eligibility is calculated from it against a cut-off date printed in the notification, and that cut-off is often not today, but a fixed date such as 01 July or 01 August of the exam year. A candidate eligible on the cut-off can look ineligible today, and the reverse.
Once submitted, a wrong date of birth is usually not correctable, and it invalidates both the age claim and any relaxation resting on it.
Category: claim only what you can prove on the day
Tick the category you hold a valid certificate for, in the right form, for the right authority, and for the right year where the certificate is annual.
The specific traps, each of which has cost people posts: claiming a reserved category without a residence certificate for the state, when state reservation requires domicile. Claiming OBC/BC/EBC without the Non-Creamy Layer certificate. Bringing the Government of India version of an NCL certificate to a state recruitment, or the reverse. Bringing an EWS certificate for the wrong financial year. Ticking EWS while also holding SC/ST/OBC status, which is not permitted.
A wrongly claimed category is not corrected at verification, the claim is refused and you are counted as Unreserved, which usually means a higher cut-off and often a stricter age limit.
Addresses: permanent is not the same as current
Forms ask for a permanent address and a correspondence address, and they are different questions. The permanent address is your family home; the correspondence address is where a letter should reach you now.
The permanent address must agree with your residence certificate, because that pair is what establishes domicile for a state recruitment. A student living in a Patna hostel whose family home is in Purnea writes Purnea as permanent and the hostel as correspondence.
Also check the PIN code by looking it up, not from memory. A wrong PIN is the commonest reason an admit card or a call letter sent by post never arrives.
Qualification: the date you passed, not the date on the paper
Notifications set a date by which the qualification must be complete, and it is often the last date of application. A result declared after that date does not count, even if the course finished earlier.
Enter the year of passing, the board or university, the roll number and the percentage exactly as printed. Where the portal asks for a percentage and your marksheet gives a CGPA, use the conversion formula printed on the marksheet or by the university, not an approximation, and not a formula found online.
If you are awaiting a result, read the notification carefully on whether appearing candidates may apply. Some recruitments allow it and some do not, and applying against the rule wastes the fee.
The fee: and the failure everyone hits
The money leaves your account and the form does not submit. This is common, and it is almost always the portal, not you.
Do not pay twice immediately. Wait, then reopen the application and check its status: most portals reconcile within 24 to 48 hours and mark the payment received. Paying again usually means paying twice with no easy refund.
Keep the transaction reference, the bank message and a screenshot of the payment page. Without the reference the recruiting body cannot trace it.
The real fix is not to be there at all: the last two days are when portals fail, because everyone has waited. Apply in the first week and this entire class of problem disappears.
Twenty minutes before you submit
Print the preview, or read it on screen against the documents themselves. Not from memory, from the certificates, placed side by side with the form.
- Name, father’s name, mother’s name: letter by letter against the Class 10 certificate.
- Date of birth: against the certificate, and in the format the portal wants.
- Category: and the certificate that proves it, in the correct form and year, in your hand.
- Permanent address: against the residence certificate.
- Qualification, year, roll number, percentage: against the marksheet.
- Photograph and signature: to the notification’s own specifications.
- Then save the submitted form as a PDF and the payment receipt. You will need both at verification, and portals close after the recruitment ends.
